We are seeking a Senior People Operations Specialist focusing on Payroll and Administration to join our fully remote People team at Waterplan. The role combines People, data analysis, and strategic planning elements to ensure that our team is effectively managed, supported, and aligned with Waterplans' goals.
About your core focus
It is our unique team that contributes to driving Waterplan forward. We are a people-driven group and are looking for a passionate People Ops Specialist.
The People Ops Specialist will focus on designing and developing the Payroll and Administration department from scratch while keeping ownership of all admin-related activities of our team through their collaborator journey.
You will have high exposure to the company's Finance, People, and Legal teams.
You will:
Payroll Related
Set up company payroll-related processes.
Manage payroll processes on all relevant sites.
Handle reimbursement of team members' expenses.
Coordinate with RevOps and FP&A the commercial variable compensation payments.
Process and maintain collaborators' benefit programs such as health insurance and other relevant perks.
Responsible for informing and consolidating monthly payroll changes and aligning with the Finance and FP&A Teams ensuring accurate and timely payroll processing.
Measure, monitor, and continuously improve companywide payroll services' effectiveness with internal stakeholders and external service providers.
Handle payroll-related inquiries from collaborators, and team leaders, referring complex and/or sensitive matters to the appropriate team member.
Register the company in different US States to withhold payroll tax when needed, with support from our in-house Legal team.
Keep internal payroll-related records and HRIS up to date.
People-Ops Related
Draft and revise collaborators' contracts, manage contract amendments, and prepare formal reference letters with support from our in-house Legal team.
Coordinate the onboarding process for new hires, including paperwork, orientation, ensuring a smooth transition, and managing offboarding processes.
Maintain accurate and up-to-date collaborator records, including personal information, compensation information, and tax withholdings ensuring accuracy and confidentiality.
Optimize our HRIS to get the most out of it (HiBob).
Administer paid leave policy for all collaborators.
Prepare and submit payroll reports to management and finance if needed.
Create and further develop People Admin & Payroll policies and procedures.
Collaborate with cross-functional teams to support People & Culture projects and initiatives.
Stay updated on HR trends and best practices to contribute to continuous improvement efforts within the HR Operations function.
Skills and Qualifications:
Bachelor's degree in Business Administration, Human Resources, Finance, Accounting, or related fields.
3+ years of experience in Payroll and Benefits administration.
Proficient user of Google Sheets.
Proficiency with or the ability to quickly learn various systems used to manage People and Accounting functions. Familiarity with Gusto, Deel, and HRIS systems.
Advanced English.
Startup experience is a plus.
Ability to act with integrity, professionalism, and confidentiality.

Strong organizational and time management skills with the ability to prioritize tasks effectively
You have strong attention to detail and accuracy.
You can take full ownership of assigned responsibilities, including taking the initiative to learn.
