Recruitment Operations Coordinator (all genders)

Product People provides Interim Product Management services for parental leaves or slow hiring. We do the unglamorous hands-on work of a Product Manager/Owner or Product Leader on an interim/fractional basis at ~100 different companies per year. We serve clients only via our in-house Product Managers who onboard fast, align teams, and deliver outcomes. Clients include Zalando, DeepL, Ecosia and the World Health Organization (WHO).

About The Role

We are seeking a highly organized and structured person to join our team as a Recruitment Operations Coordinator. In this role, you will play a vital part in ensuring the smooth and efficient functioning of our recruitment process. Your primary responsibility will be to organize and manage the logistics behind the entire recruitment process while providing support and guidance to prospective team members. We are looking for someone who is well organized, structured, and proactive, not necessarily for a traditional background in recruitment/talent acquisition.

  1. Bring in great people fast
    • Coordinate the end-to-end candidate recruitment process, ensuring a seamless experience for all applicants with minimal input from the leadership team; 
    • Aim to complete the end-to-end recruitment process for <4 weeks for each candidate.
    • Optimize for both our and the candidate’s time by stopping the process where there are compensation, levelling, or other mismatches.
  2. Strength in depth; redundancy; over-design. 
    • Answer all applicant questions on employment, including contract types, salaries, visas and employment-related inquiries; Maintain and improve our Interview Guide and Candidate FAQ.
    • Learn from our recruiting iterations and suggest improvements to our processes and/or candidate selection criteria to optimize for successful employees (>12 months tenure, promote at least once) and minimize mis-hires (<6 months tenure).
    • Maintain up-to-date knowledge of HR business processes (Greenhouse) and ensure compliance with company policies and legal regulations; 
    • Create and follow up with HR documentation (contracts, addendums, additional documents);
    • Maintain a strategic talent pool in times of slow hires; 
    • Conduct regular checks and address open issues; Assess independently the relevance and urgency of open questions to bring to the leadership team for regular checks;
    • Organize the hardware management of the team.
  3. Spread Knowledge Generously; Support and gain insights;
    • Prepare quarterly statistics on the team's performance and the recruitment process, providing valuable insights for improvement
    • Conduct market research to stay informed about job roles, industry trends, and recruitment best practices;
    • Actively support change processes within the organization, adapting recruitment strategies as needed; Communicate and register feedback efficiently and in a structured way; 
    • Handle general administrative HR tasks to ensure accurate record-keeping and efficient operations.

About You

  9. You are comfortable working in a fully remote team.
  10. You are within EU timezone CET +/- 2 hours. Applications from outside the EU timezone will not be considered.

  4. Paid sabbatical accrued every 3 years. You get a paid month off every 3 years, on top of your regular holiday allowance. You can also optionally take a 1-month unpaid sabbatical every 12 months.
  5. Remote working. We work distributed first. We recommend setting up a dedicated workspace for which you can choose to expense a MacBook, external monitor, ring light, room divider, and plants. As it can sometimes get lonely, consider that you’ll need to proactively schedule in-person meetings, sports, or other activities that provide a good cutoff and help you recharge after work.
  6. [optional] 4-day workweek. Free up space and time to pursue an MBA, travel for a longer time, or just do nothing. Our default is a 5-day workweek, you can opt in and out of a 4-day workweek with at least one month's notice to minimize the impact on the team’s workload. The compensation impact is 80% of the salary in years 1-2, 85% of the salary in years 3, and 90% of the salary in years 4+.

 

Compensation
  1. Based on location tax of residence. 
    • Recruitment Operations Coordinator
      • Location Tier1 (High cost of living countries: Germany, Netherlands etc.) €38,000/year
      • Location Tier2 (EU countries, medium cost of living: Spain, Portugal etc.) €28,000/year
      • Location Tier3 (Non-EU, lower cost of living: South Africa, Turkey, Egypt etc.) €20,400/year
  2. Tenure-Based Compensation Increase. 100% in months 1-6 of the current level, 105% in months 7-12 and 110% in months 13+. Resets and restarts when promoting to the next level.
