Job Overview

We are seeking a dynamic and experienced Real Estate Operations Manager to join our team. As an Operations Manager, you will play a vital role in the success and growth of our company by overseeing and managing the day-to-day operations of our real estate division. You will have the task of handling files, meeting deadlines, and engaging with clients. The perfect candidate should possess impressive organizational and communication skills and the ability to work autonomously and remain driven.

Responsibilities

Administrative Support:

  • Assist with administrative tasks such as managing emails, organizing files, and handling correspondence.
  • Coordinate and schedule appointments, property showings, and meetings.
  • Prepare and edit real estate documents, contracts, and agreements.
  • Conduct market research and gather property information for listings and presentations.
  • Maintain and update client databases, ensuring accuracy and confidentiality.
  • Support Social Media Management by coordinating with creative marketing teams.
  • Create SOPs for business systems
  • Potentially support recruitment of new agents

Transaction Coordination:

  • Assist with transaction management, including reviewing contracts, deadlines, and contingencies.
  • Coordinate with clients, lenders, title companies, and other parties involved in the transaction process.
  • Facilitate communication and ensure all required documentation is complete and submitted promptly.
  • Track and follow up on key milestones and deliverables throughout the transaction process.
  • Help ensure smooth and efficient closings by coordinating with all stakeholders involved.

Client Communication and Support:

  • Respond to client inquiries, providing information, answering questions, and addressing concerns.
  • Assist with client onboarding and support, ensuring a high level of customer service.

Requirements

  • Bachelor's degree in Business Administration, Real Estate, or a related field
  • Minimum of 5 years of experience in real estate operations, with at least 2 years in a management role
  • Proven track record of successfully managing real estate operations and driving improvements
  • In-depth knowledge of the real estate industry, including market trends and regulations
  • Strong leadership and team management skills, with the ability to inspire and motivate a team towards achieving goals
  • Excellent problem-solving, decision-making, and analytical skills
  • Exceptional communication and interpersonal skills, with the ability to build and maintain relationships with clients, stakeholders, and team members
  • Proficiency in real estate management software and tools

  • Familiarity with real estate marketing strategies and online lead generation is a plus.
