Offit Kurman, a growing full-service firm, is seeking to hire an Onboarding Project Coordinator. The Onboarding Project Coordinator will work closely with the Onboarding & Separations Senior Program Manager to facilitate the successful onboarding of new attorneys, attorney groups and staff members. The primary objective of this role is to act as a concierge and first stop for employee onboarding and integration. The Onboarding Project Coordinator will coordinate with members of the administrative, regional and channel management teams to ensure all attorney and staff onboarding, client transition, and other affiliation tasks are completed. This role is the face of onboarding and ensures a successful orientation and post-orientation integration for attorneys and staff.
*This position is remote; however, the candidate will need to reside in a state that one of our offices are located in. The position is paying $65,000 - 75,000 depending on skills and years of experience.
RESPONSIBLITIES:
- Interface with attorneys and staff being onboarded to ensure a pleasant onboarding experience and that the necessary tasks are completed in advance of their start date.
- Maintain task/due date trackers and report any issues to management.
- Collaborate with hiring managers and administrative teams to prepare for the new hire's start date.
- Hold pre-start and post-start check-in meetings with new hires to help ensure proper integration.
- Serve as a resource to new employees post-start, liaising with various departments and individuals throughout the firm to answer questions and resolve issues to ensure they get settled as soon as possible and that they have an overall delightful, white-glove experience.
- Coordinate with the Client Engagement team to ensure timely entry of attorney client matters.
- Work closely with the Regional Administrative Manager and Channel Director for affiliating attorneys to ensure the administrative support needs of the attorneys are being met in a timely and effective manner.
- Work closely with affiliating attorney groups and coordinate as appropriate with administrative departments to ensure all transition tasks are completed in a timely manner pre and post affiliation.
- Work with Human Resources, Knowledge & Innovation and other departments to update and manage onboarding and orientation presentations and other materials to improve delivery and retention of information and ensure all materials are current with firm policy and operations.
- Schedule and facilitate cohort meetings for each group of new hires.
- Conduct new hire surveys; compile, analyze and summarize results.
- Assist in identifying and implementing processes and process improvements to meet business goals.
- Provide backup support for the Attorney Separations Manager role as needed.
QUALIFYING EXPERIENCE & SKILLS:
- 5 or more years of combined experience in onboarding, human resources, or project management roles. Law firm experience would be helpful but is not required.
- Strong proficiency with Microsoft Office, especially Outlook, Excel, and PowerPoint. Experience with Smartsheet and Microsoft Teams would be very helpful but is not required.
- Detail-oriented with exceptional time management, coordination, and organizational skills, and proven ability to prioritize, manage and successfully deliver multiple projects on aggressive and competing deadlines. (This role requires someone who lives by their calendar and cannot stand the thought of missing a deadline for their own tasks, yet some patience with others who need reminders or help to meet deadlines.)
- Superior communication (written and verbal) and interpersonal skills, as well as a friendly disposition.
- Strong analytical and problem-solving skills with the ability to think creatively to find solutions to challenging issues and adapt to complex and rapidly changing business operations.
- Self-motivated, proactive, resourceful, and able to work independently with a strong focus on ownership, accountability and follow-through.
- Excellent customer service skills and the ability to deal diplomatically with a wide variety of personalities.
- Must be able to work flexible hours, including some on nights and weekends as needed.
