Summary

We are seeking a bright, enthusiastic Junior Scheduler to work within our team. 

This role is an excellent opportunity to increase your developing skillsets in post-production, working closely with both Producers and Artists, in a busy post-production studio. Working alongside other Be Grizzlee environments delivering both mass adaptation and creative content for Cinema, TV and Social Media content, the Junior Scheduler is an integral part of the scheduling team and wider business.

If you are a talented junior who aspires to develop skills towards a future role in advertising post-production, this role will teach the fundamental building blocks required to create and deliver high quality content, from all aspects of the business and artists. Reporting into the Head of Scheduling and working alongside experienced Producers and Artists, you will learn our workflows and best practices ensuring our content meets the highest industry standards.

The Work

  • Liaising with the Head of Scheduling to assist with sourcing and booking freelancers across all post-production disciplines (Production, 2D, 3D, Design, Edit, MCR, Sound, Colour).
  • Creating and maintaining great relationships with our existing freelancers and new talent.
  • Updating freelancer availability and confirmation status in our scheduling software, Productive.
  • Helping to increase our freelancer database working with Be Grizzlee’s internal recruiter, and assisting with setting up interviews with new talent and department leads.
  • Sending freelancer booking requests including completed IR35 status determination statements to our Finance and HR teams for approval.
  • Liaising with IT and Front of House to arrange couriers to send/collect freelancer equipment and keeping track of these costs for the business.
  • Guiding freelancers through the timesheet process, checking timesheets have been signed correctly and ensuring our payment terms are adhered to.
  • Setting up freelancers working through limited companies as New Vendors when required.
  • Updating annual leave/sickness etc. in Productive as advised by the Head of Scheduling and Head of Production, ensuring team members enter their leave in our HR system, Reach.
  • Supporting Producers with crew requirements for individual jobs, checking before and during a project that they have the internal and external resource required.
  • Updating start and end dates for confirmed crew and requirements on projects to ensure team members have visibility of schedules.
  • Updating Productive with new users, projects, and amending schedules as advised by the Head of Scheduling.
  • Alerting the team of scheduling clashes with internal staff or freelancers to flag additional crew requirements.
  • Collecting NDAs and tracking information in the NDA spreadsheet.
  • Tracking any weekend work required for projects and highlighting to the HoS/HoP and security team.
  • Collating scheduling, resourcing, and financial information from our systems to be shared with global Be Grizzlee teams.
  • Welcoming all new freelance and permanent starters to give them a warm welcome to Be Grizzlee, sending our Welcome document and setting them up with a Deliveroo account.
  • Supporting the Front of House in busier periods or helping to cover responsibilities during annual leave and communicating effectively with them on client-attended session requirements.
  • Maintaining a high level of communication with IT, Head of Scheduling, Head of Production, and other heads of department to manage machine and room moves, ensuring all crew on the same project are in same room whether this is remote or studio-based, and managing client-attended sessions accordingly.

  • Previous experience working within a scheduling team or post-production studio is desirable.
  • The ideal candidate will be interested in a career as a Post Producer, as we are able to offer support and mentorship to guide you towards this.
