GPS Events Moderator – (Daytime Moderator) Mon/Wed/Thurs 5-8:30pm ET

Job Purpose

This position moderates Zoom video meetings like a producer, taking on the administrative tasks or technical support needed to provide a quality participant experience. The moderator manages participant interactions and troubleshoots technical issues, allowing the facilitators to focus on training. The Zoom moderator helps ensure all attendees have a positive and engaging virtual experience. 

POSITION REQUIREMENTS

Tech Tools Experience (Some training provided)
Strong preference for candidates with working knowledge of the following platforms:

  • Zoom - setting up meetings, comprehensive understanding of audio and visual settings, creating breakout rooms, knowledge of how to manage host/co-host roles, and screen sharing. 
  • Google Suite - Shared Drives, Google Docs, Google Sheets, managing sharing permissions levels in alignment with program organizational structure and access needs.
  • Asana - creating and managing program project boards, maintaining program project templates, working knowledge of and strategic etiquette with task descriptions/comments/attachments.
  • Microsoft Office Powerpoint, Word, Excel.
  • Slack - is comfortable with instant messaging for collaboration as needed and is available on the platform for team communication during virtual office hours. 

Competencies and Education

  • Technical Proficiency:
    • Familiarity with Zoom features, especially managing breakout rooms and the chat box. 
    • Able to multi-task and manage/troubleshoot common technical issues for participants.
  • Language Fluency (verbal and written) in English and Spanish.

DUTIES AND RESPONSIBILITIES “Producer” of events

  • Pre-event Preparation
  • Conduct a pre-event technical check to ensure smooth functioning of audio, video, and other necessary features. 
  • Coordinate with facilitators to understand specific requirements and expectations. 
  • Technical Support
  • Assist participants with joining the Zoom meeting, troubleshooting audio/visual issues, and navigating the platform's features.
  • Address any technical glitches or connectivity issues promptly to minimize disruptions. 
  • Provide guidance on utilizing Zoom tools such as chat and breakout rooms.
  • Meeting Coordination:  This might be the facilitator rather than the moderator.
  • Start the meeting on time and welcome participants. 
  • Introduce the agenda and objectives of the meeting.
  • Start and stop recordings to the cloud.
  • Keep track of time and assist in maintaining the meeting's schedule.
  • Participant Management:
  • Monitor participant entry and manage waiting rooms if needed.
  • Mute participants as necessary to control background noise.
  • Generate and assign participants to breakout rooms.
  • Share required links with participants when needed.
  • Monitor chat box.
  • Respond to questions.
  • Collect follow-up needed comments.
  • Security
  • Enforce meeting security measures such as admitting attendees from the waiting room.
  • Monitor for any unauthorized participants and take appropriate action.
  • Be aware of Zoom security features and implement them as needed.
  • Post-event Support
  • Assist participants seeking post-event resources or additional information. 
  • Collect feedback from participants regarding their experience and suggestions for improvement.

Location and work hours—The position is remote and part-time.
Mon/Wed/Thurs 5-8:30 pm ET
