Executive Assistant

The Executive Assistant serves as a vital support to the owner & CEO of a renowned skincare company. The role necessitates acting as the right-hand person to the CEO, providing comprehensive assistance across various facets of the CEO's professional and personal life. The Executive Assistant will be involved in multifaceted activities including, but not limited to, managing communications, assisting in travel bookings, coordinating logistics for product shipping, reviewing online media channels, engaging with social media, and handling general administrative tasks.

Monday to Friday | 8 PM to 5 AM

*Following US Holidays

Responsibilities:

• Efficiently managing the CEO's business and personal emails and calendars, ensuring schedules are well-organized and appointments are timely coordinated.

• Assisting in the booking of travel for the CEO and a team of 12 employees, including potential coordination for vendors or partners.

• Focusing on shipping, ordering, and receiving skincare products, including the management of all logistics related to these processes.

• Keep track of products received by the warehouse.

• Regularly reviewing the company's website and media channels to verify the proper posting of blog posts or other content.

• Responding to or tagging direct messages (DMs) on social media platforms, utilizing defined standards and discerning when to escalate messages to the CEO.

• Assisting the social media team by sourcing content for social media posts.

• Providing assistance in a variety of administrative tasks as needed throughout the CEO's day.

Qualifications:

• At least 3 years' experience as an executive assistant.

• Must have an outgoing personality and the ability to thrive in a fast-paced environment.

• Top-notch written and spoken English, with strong conversational abilities, including the ability to communicate effectively with team members, vendors, and other stakeholders.

• Exceptional organizational and time-management skills, with a keen attention to detail.

• Proactive problem-solving skills, with the ability to think creatively and work independently.

• While not required, the ability to draft blog posts or social media posts would be an asset, as it can assist in quality assurance efforts and DM management.
