ABOUT THE ROLE 

As the Executive Assistant to the CEO of our dynamic and rapidly growing tech startup, you will be the linchpin of support for the CEO, providing seamless assistance, managing administrative tasks, and ensuring efficient operations. This position requires a proactive, organised, and adaptable individual who can work in a fast-paced environment, supporting a CEO who travels frequently. The role is based in London or Cape Town and does not require travel between principal locations, but does require the successful incumbent to have  the flexibility to adapt to changing schedules and time zones.

This position offers an exciting opportunity to be at the heart of a growing tech startup, directly contributing to its success and working closely with the CEO. The successful candidate will play a pivotal role in ensuring the CEO's effectiveness and the overall efficiency of the company's operations.

RESPONSIBILITIES

  1. CEO Support:
  • Act as the primary point of contact between the CEO and internal/external stakeholders, managing communication and ensuring the smooth flow of information.
  • Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and making travel arrangements (domestic and international) in alignment with the CEO's preferences and company protocols.
  • Provide administrative support for the CEO, handling emails, phone calls, and other correspondence on their behalf.
  • Prepare and review documents, reports, and presentations for the CEO, ensuring accuracy and quality.
  • Assist in coordinating and hosting meetings, preparing meeting rooms, and managing technology requirements for presentations and video conferences.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.

  1. Interdepartmental Liaison: 
  • Facilitating communication between various departments within the startup is crucial. An Executive Assistant often acts as a bridge between different teams, ensuring smooth information flow and collaborative efforts.
  • Mastery of professional written communication is crucial. This includes drafting and editing emails, memos, and other documents with precision, clarity, and professionalism. The ability to convey the CEO's tone and intentions accurately is key.

  1. Travel Coordination:
  • Manage complex travel itineraries, including flights, accommodations, and ground transportation, considering time zone differences and potential changes in the CEO's schedule.
  • Ensure all necessary travel documents, visas, and any other related requirements are arranged in advance.

  1. Special Projects and Initiatives:
  • Support and lead special projects assigned by the CEO, such as organising company events, team-building activities, or offsite meetings.
  • Collaborate with other members of the executive team to ensure the smooth execution of projects and initiatives.
  • Prepare and host regular internal meeting in accordance with their various cadences, including management syncs, cross team syncs, OKR reviews and others

 

REQUIREMENTS

Minimum:

  • Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives in a fast-paced environment, ideally within the tech industry.
  • Exceptional organisational and time-management skills with the ability to multitask and prioritise effectively.
  • Proficient in Google Suite is essential
  • Excellent tech skills, and the ability to learn new tools and platforms quickly
  • Strong written and verbal communication skills, with a keen eye for detail.
  • Ability to adapt to changes in schedule and work hours, accommodating the CEO's travel requirements.
  • Discretion and the ability to handle confidential information with professionalism.
  • Flexibility and adaptability to work in a dynamic and ever-evolving startup environment.
  • A proactive and resourceful mindset, with the ability to anticipate needs and provide solutions.

 

Preferred: 

  • A basic understanding of financial concepts and budget management
  • A basic understanding of project management methodologies or experience in coordinating and managing projects 
  • Proficiency in languages beyond English
