Executive Administrator - Operations

Job title: Executive Administrator

Wolfram, creator of Mathematica, Wolfram|Alpha and Wolfram Language, is looking for a highly organized and detail-oriented Executive Administrator, Operations. The Executive Administrator will schedule activities for our chief executive staff, including our CEO. This person should have an understanding of our mission, experience in performing administrative duties and an eagerness for providing professional aid to managers.

The Executive Administrator, Operations role will be a gatekeeper for calendar scheduling or similar coordinative tasking. Along with the personal and professional development opportunities that come with the role, there is regular opportunity for exposure to Wolfram's breadth of technology and people. The ideal candidate will be curious, driven, empathetic and a systematic thinker.

Responsibilities

  • Managing executive appointments and calendars
  • Coordinating and updating new or existing events
  • Routinely hosting stand-up meetings to review memos or prepare for events
  • Carefully handling confidential or sensitive information
  • Performing other administrative tasks as requested
  • Maintaining a stakeholder-approved scheduling process
  • Communicating between various levels of staff who wish to access or modify calendar events
  • Calling in personnel who are needed mid-meeting
  • Collating memos or other executive requests for later review
  • Switching "modes" often to alternate between immediate and backlogged priorities
  • Establishing, documenting and improving internal processes

Qualifications

  • Proficiency in English with excellent written and verbal communication skills
  • Excellent time management and the ability to meet deadlines
  • Strong writing skills, attention to detail and organizational skills
  • Proactivity and self-direction skills
  • Ability to coordinate multiple projects or tasks simultaneously
  • Ability to work autonomously without change to the quality of work
  • Ability to adapt to changing priorities in a fast-paced environment
  • Non-traditional working hours occasionally required; flexibility is valued

Preferred qualifications

  • Administrative experience
  • Project management experience
  • Ability to use (or the willingness to learn) Wolfram Language

Location: Fully remote and seeking candidates from Mexico, Colombia and Peru
Job type: Full time (40 hours per week)/Independent Contractor
Salary: Dependent on location, candidate’s background and experience
Reporting to: Project & Productivity Manager
