The Challenge

Within3 has a career opportunity for a Coordinator to join our growing Web Conference Studios and Disease Community Landscape team. The ideal candidate will be extremely detail-oriented and able to support the set-up, deployment and outputs of both real-time and on-demand web conferences, social listening, and disease community landspace activity. Prior meeting, event management or project management client success driven experience is a plus! 

What you can expect from the opportunity

  • Support logistics and delivery of real-time and on-demand global web conference solutions (including webcasts, webinars and other client pre-recorded presentations)
  • Support logistics and delivery of social listening and disease community landscape related actvitiy 
  • Assist Manager and producers with event and workflow traffic management including shared internal calendar updates
  • Act as the primary point of contact for Client Success account managers requesting client assignments and manage cross-department administration related to contract tracking
  • Schedule and manage the logistical aspects of all web conferences and events; including (but not limited to) invitations, reminders, attendee registration/list management, report creation
  • Attend and provide live attendee management support for these web conference events
  • Assist Producers as needed with pre- and post-event production-related tasks
  • Gain knowledge of webinar/web meeting platforms used, while staying up to date on the latest virtual event platform industry trends and feature updates
  • Identify areas of possible process creation, refinement, or improvement for cross-departmental collaboration and transparency
  • Working to support a larger team to provide excellent client service demonstrated consistently through ensuring repeat clients, referrals, and overall account growth

Requirements

What you need to grow and succeed

  • Minimum 2+ years of event/meeting management (live and/or virtual) experience with client-facing communication 
  • Must love to organize many moving parts of a global communication workflow! Detail-oriented communication (verbal and written) and project management skills are required
  • Bachelor’s degree preferred (equivalent experience with training will be considered)
  • Proficiency in Microsoft Office Suite – PPT, Word and Excel
  • Proficiency in Google Drive (including Docs and Sheets)
  • Proficiency in Basecamp project management software
  • Familiarity with Gainsight is a plus but not required
  • Ability to work remotely in a private space with limited disruptions (100% Remote)
  • Proven experience supporting live or virtual conferences (meetings, webcasts, webinars)
  • Flexibility - Global webcasts/webinars may be held on early mornings, nights, or weekends, flex time and efficient schedule management needed
  • Ability to demonstrate planning competency, ability to prioritize work and strong time management skills are required
  • Ability to multi-task and remain calm under pressure while having a great phone/web presence
  • Ability to learn and manage unique processes related to one-of-a-kind social listening and disease community landsape
  • Abilty to support cross-functional teams 
  • Excellent written/oral communication skills with a positive mindset and willingness to learn.
