Job Description
DMS International (DMS) is seeking a proficient and detail-oriented Administrative Assistant to provide essential support in managing contracts and other administrative tasks. The Administrative Assistant will play a crucial role in ensuring compliance with government regulations and facilitating the smooth execution of government contracts. The ideal candidate should be familiar with government procedures and must have exceptional communication skills, attention to detail, and the ability to multitask in handling a diverse range of responsibilities.
Responsibilities
Review task orders from clients for accuracy.
Maintain, report, and bill hours associated with each project.
Create time and accounting charge codes for each project.
Maintain the timekeeping database for all instructors and consultants; Verify accuracy of instructor/developer timesheets.
Obtain consultant quotes; make purchase request orders; verify consultant and ODC invoices.
Create and provide customer and subcontract funding projections.
Verify subcontract and contract modifications and invoices.
Project and verify instructor professional enhancement budget and related activities.
Estimate, book, verify, and invoice instructor travel as per government travel regulations.
Schedule course resources including space and instructor availability, order all materials and supplies necessary for course deliveries.
Report and work directly with the Program Manager on any necessary aspect of the contract.
Manage administrative functions in the contract office.

Professional level communication skills, both written and verbal.
Professional demeanor, with experience working directly with clients.
Ability to work independently and in a team environment.
Education
BA/BS in Business Administration, Organizational Development, Education, Knowledge Management, or other relevant areas from a regionally accredited college or university
Required Experience
Three years of experience as an administrative assistant or other relevant administrative support experience
Minimum of three years of experience in an organizational training environment with at least two years of experience as a training coordinator or conference/seminar/meeting organizer.
Experience in handling multiple projects simultaneously
Experience in managing training requirements and student registration
